OnPoint DMS and Google User Data
OnPoint DMS, a product of J&T Tech, integrates with Google services so you can manage your
documents within the Google tools you already use. When you connect your Google Account to
OnPoint DMS, you grant OnPoint DMS delegated access to certain Google user data through
Google’s official APIs. You authorize this access through Google’s standard OAuth
consent screen. This section explains what we access, how we use it, how we store and share it,
and the choices you have, and it applies in addition to the rest of this Privacy Policy.
Google Data We Access
OnPoint DMS requests access only to the Google data needed to provide the features you use.
With your explicit consent, OnPoint DMS may access:
- Google Drive (drive, drive.file): To create, store, retrieve, organize, and manage the documents and folders you choose to use with OnPoint DMS, including reading file content and metadata, maintaining version history, and managing sharing for the files you manage in OnPoint DMS.
- Gmail (gmail.send, gmail.readonly): To send and read email at your direction. We send emails on your behalf — such as document share links, client portal invitations, electronic-signature requests, and related notifications — that you initiate from within OnPoint DMS. Separately, when you click a link in OnPoint DMS to access your inbox and select a specific email, we read that email so we can download it and store it as a PDF document in your DMS. We only read an email when you explicitly select it for this purpose.
- Google Calendar (calendar.events): To create and view calendar events related to your documents, such as deadlines, review dates, and signing reminders.
- Basic Profile and Email Address (openid, email, profile): To authenticate you, create and secure your OnPoint DMS account, and identify you to other members of your organization.
How We Use Google User Data
We use Google user data solely to provide and improve the user-facing features of OnPoint DMS
described above. We do not use Google user data for advertising, and we do not sell it. We do
not use Google user data to train generalized artificial intelligence or machine learning models.
How We Store and Protect Google User Data
Wherever possible, OnPoint DMS accesses Google user data in real time and does not retain it.
Where we must store data to provide a feature, it is encrypted in transit and at rest. OAuth
access and refresh tokens are stored securely and used only to perform the actions you request.
We retain Google user data only as long as needed to provide the service to you. When you
disconnect your Google Account or close your OnPoint DMS account, we delete the associated
Google user data and revoke the stored tokens, except where retention is required by law.
How We Share Google User Data
We do not sell, rent, or trade Google user data. We do not transfer it to third parties except
in the following limited circumstances:
- As necessary to provide a feature you request — for example, delivering a document or signature request to a recipient you designate.
- With service providers who process data on our behalf, bound by confidentiality obligations and permitted to use the data only to operate OnPoint DMS.
- To comply with applicable law, regulation, legal process, or an enforceable governmental request, or to protect the security and integrity of our service.
- As part of a merger, acquisition, or sale of assets, with notice to you.
Limited Use Disclosure
OnPoint DMS’s use and transfer to any other app of information received from Google APIs
will adhere to the
Google API Services User Data Policy,
including the Limited Use requirements. Specifically:
- We limit our use of Google user data to providing or improving user-facing features that are prominent in the OnPoint DMS user interface.
- We do not transfer or sell Google user data to third parties for serving advertisements, for marketing, or for any purpose unrelated to providing the features — except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger or acquisition with user notice.
- We do not use Google user data to serve advertisements.
- We do not allow humans to read your Google user data unless we first obtain your affirmative agreement to view specific data, it is necessary for security purposes (such as investigating abuse), it is required to comply with applicable law, or the data has been aggregated and anonymized and is used to maintain or improve our service.
Revoking Access to Your Google Data
You can revoke OnPoint DMS’s access to your Google Account at any time, either from within
OnPoint DMS or through your Google Account permissions at
myaccount.google.com/permissions.
Revoking access will disable the OnPoint DMS features that rely on Google services. If you have
questions about how OnPoint DMS handles your Google data, contact us at
info@jandttech.com.
OnPoint DMS and Microsoft 365 Data
OnPoint DMS also integrates with Microsoft 365 through the Microsoft Graph API so you can manage
your documents within the Microsoft tools you use. When you connect your Microsoft account to
OnPoint DMS, you grant OnPoint DMS delegated access to certain Microsoft 365 data, which you
authorize through Microsoft’s standard consent screen. This section applies in addition to
the rest of this Privacy Policy.
Microsoft 365 Data We Access
OnPoint DMS requests access only to the Microsoft 365 data needed to provide the features you
use. With your explicit consent, OnPoint DMS may access:
- OneDrive and SharePoint (Files.ReadWrite.All, Sites.ReadWrite.All): To create, store, retrieve, organize, and manage the documents and folders you choose to use with OnPoint DMS, including reading file content and metadata, maintaining version history, and managing sharing for the files you manage in OnPoint DMS.
- Outlook Mail (Mail.Send, Mail.Read): To send and read email at your direction. We send emails on your behalf — such as document share links, client portal invitations, electronic-signature requests, and related notifications — that you initiate from within OnPoint DMS. Separately, when you click a link in OnPoint DMS to access your mailbox and select a specific email, we read that email so we can download it and store it as a PDF document in your DMS. We only read an email when you explicitly select it for this purpose.
- Outlook Calendar (Calendars.ReadWrite): To create and view calendar events related to your documents, such as deadlines, review dates, and signing reminders.
- Basic Profile and Sign-In (User.Read, openid, profile, email, offline_access): To authenticate you, create and secure your OnPoint DMS account, identify you to other members of your organization, and maintain your signed-in session.
How We Use, Store, and Share Microsoft 365 Data
We use Microsoft 365 data solely to provide and improve the user-facing features of OnPoint DMS
described above. The commitments in this Privacy Policy for how we use, store, protect, retain,
and share data — including that we do not use your data for advertising, do not sell it, and
do not use it to train generalized artificial intelligence or machine learning models —
apply equally to Microsoft 365 data. Our access to and use of Microsoft 365 data complies with
the
Microsoft APIs Terms of Use
and Microsoft Graph data-handling requirements.
Revoking Access to Your Microsoft 365 Data
You can revoke OnPoint DMS’s access to your Microsoft account at any time, either from within
OnPoint DMS or from your Microsoft account at
myapps.microsoft.com
(or, for organization-managed accounts, through your administrator). Revoking access will disable
the OnPoint DMS features that rely on Microsoft 365. If you have questions about how OnPoint DMS
handles your Microsoft data, contact us at
info@jandttech.com.
Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this
page with an updated revision date. We encourage you to review this policy periodically
to stay informed about how we are protecting your information.
